Inventory Policy

At Yuanqi Fort Bureau LLC, we work to keep product availability accurate and up to date so customers can shop with confidence. Clear stock tracking helps reduce out-of-stock orders, fulfillment issues, and overselling.

1. Inventory availability

  • Product availability shown on our store reflects the inventory information available at the time you shop. Real-time inventory tracking is a common ecommerce practice used to keep stock levels accurate across sales channels.

  • In rare cases, an item may become unavailable after your order is placed due to simultaneous purchases, system delays, or inventory discrepancies. Even with tracking systems, temporary mismatches can still happen in ecommerce operations.

2. Out-of-stock items

  • If a product or variant is out of stock, it may be marked as unavailable or sold out on the product page. In Shopify, the standard “deny” inventory policy prevents customers from purchasing a variant once inventory reaches zero.

  • Unless otherwise stated on the product page, we do not guarantee that out-of-stock items can be backordered. Shopify inventory settings commonly distinguish between denying sales at zero stock and continuing to sell for backorders.

3. Backorders

  • Some products may be available for purchase even when temporarily out of stock if we specifically allow backorders. Shopify’s “continue selling when out of stock” setting is the feature typically used for this purpose.

  • If a product is offered on backorder, the product page or checkout experience should indicate that availability is delayed. Clear communication around stock status and fulfillment timing is a recommended inventory policy practice.

4. Inventory errors

  • We reserve the right to cancel or limit any order if a product was listed as available by mistake or if there was an inventory error. Inventory discrepancies can affect order fulfillment and are a recognized ecommerce risk even with automated systems.

  • If this happens, we will notify you as soon as possible and issue a refund if payment has already been collected. Accurate communication about stock problems supports customer trust and service quality.

5. Order fulfillment

  • Orders are fulfilled based on available inventory at the time of processing. Good inventory control is closely tied to accurate and timely order fulfillment.

  • If part of your order is unavailable, we may contact you to offer a replacement, partial shipment, delay notice, or cancellation, depending on the situation. Strong inventory practices commonly include maintaining service levels and informing customers when stock issues affect fulfillment.

6. Product quantities

  • We may limit quantities purchased per order, per customer, or per household when necessary to protect inventory availability and prevent bulk purchasing abuse. Inventory policies are often used to balance service levels and stock availability across customers.

  • Quantity limits may apply especially during promotions, low-stock periods, or for high-demand items. Policy controls like this help reduce stockouts and overselling risk.

7. Inventory updates

  • We may update product availability, discontinue products, or change stock levels at any time without prior notice. Ecommerce inventory management depends on continuous monitoring and updating of stock movement.

  • We are not obligated to restock any item that becomes unavailable unless otherwise stated. Inventory policies commonly use reorder decisions and restocking plans based on demand and operational needs.

One note: an Inventory Policy page is not a standard legal page for most Shopify stores, but it can still be useful if you want to explain stock availability and backorders more clearly. Essential store policy pages more commonly include privacy, terms, shipping, and returns.
